This explains what personal data we collect through this website, why we collect it, who else handles it and what you can ask us to do with it. It is written to be read rather than to be survived.
Who we are

What we collect, and when
When you run a Leak Check. Your name, clinic name, email address, telephone and mobile numbers, website address, the type of clinic you run, roughly how many enquiries you get each month, and your average treatment value. We ask for the last three because the report cannot estimate recoverable value without them.
What we gather ourselves during a Leak Check. We also collect information you have not typed in, because most of the check is observation rather than a questionnaire. That is your clinic’s public search position and Google Business Profile, the pages on your own website, and what happens when we contact the clinic as a patient would: by telephone, by web form and by email. For each attempt we record the channel, the time, and the outcome, such as whether a person answered, how long a reply took, or whether nothing came back.
We deliberately do not record those calls and we do not keep notes about the individual who answered. The outcome is stored as a fixed set of options rather than as free text, so the check describes your systems and never an individual member of your staff.
When you contact us. Whatever you choose to put in the message, plus the address or number you send it from.
When you browse. Standard technical data such as IP address, browser type and the pages you viewed, together with any analytics and advertising cookies you have consented to. See our cookie notice.
Why we use it, and on what legal basis
To produce and send your Leak Check report. This is necessary to provide what you asked for, so our lawful basis is performance of a contract or steps taken at your request.
To follow up about the findings and our services. Our lawful basis is legitimate interests: you are a business contact who asked us to review your clinic, and a follow-up about that review is what you would reasonably expect. You can tell us to stop at any time and we will.
To measure and improve the site. Analytics and advertising cookies are used only where you have consented, and consent can be withdrawn at any time through the cookie banner.
Who else handles it
We do not sell your data and we do not share it with anyone for their own marketing. We do use service providers who process it on our behalf, under contract and on our instructions:
- HighLevel (LeadConnector), our CRM. Leak Check and contact submissions are stored here. Based in the United States.
- Vercel, which hosts this website and processes standard server logs.
- Google, for Tag Manager and analytics, where you have consented.
- LinkedIn, for its advertising insight tag, where you have consented.
- Supabase, the database holding your Patient Leak Check assessment: the evidence we gather, the scores, and the report itself. Hosted in the EU.
- DataForSEO and Firecrawl, which we use to check what is publicly visible about your clinic: search position, your Google Business Profile, and the pages on your own website. These look at published information, not at anything you tell us.
- A telephony provider, used to place the calls in the capture part of the check. We record the outcome and the time taken. We do not record the call.
Where a provider is outside the UK, transfers are made under the UK International Data Transfer Addendum or equivalent approved safeguards.
How long we keep it
Leak Check submissions and the resulting report are kept for two years from your last contact with us, so that we can answer questions about a report we sent you. Enquiry correspondence is kept for the same period. Records we are required to keep for tax or accounting purposes are kept for six years. Anything else is deleted when it is no longer needed.
Your rights
You can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it, ask us to restrict how we use it, object to our use of it, or ask us to transfer it to someone else. You can also withdraw consent for cookies at any time. Email hello@thefunnelsmiths.com and we will respond within one month.
We do not make decisions about you by automated means that have a legal or similarly significant effect. Your Leak Check score is advisory. It is produced partly from the answers you give us and partly from what we observe ourselves: your public search position and profile, the pages on your own website, and how your clinic responds when we contact it by phone, web form and email as a patient would. The report says which of those produced each finding.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk. We would rather you told us first so we can put it right.
